Time & Expense Approval


From your Manager Dashboard (or home page) in Headway Connect, you can review, approve, or reject the time and expense sheets submitted by your Headway contractors or employees.
Note: Time and expense approval processes are separate actions on different pages.



To review, approve, and/or reject time and expense sheets submitted by your Headway contractors or employees, start by clicking the “Time Approval” or "Expense Approval" menu item located on the left-hand main menu, as shown above.

The time and expense sheets are grouped by status:

SUBMITTED – employee entries that are currently awaiting your review and approval.
WORKING – employee entries that have not been submitted yet are are currently being worked on.
APPROVED – employee entries that have previously been approved.
REJECTED – employee entries that have previously been rejected and sent back to the employees.
ALL – all time or expense sheet status.
Helpful hint: Use the filter feature to narrow your search by Employee or Pay Period.



Time/Expense Sheet Approval

To review time and expense sheets:

Make sure you are under the SUBMITTED tab, where you’ll be presented with a list of all current timesheets submitted by your Headway contractors or employees, as shown below. Each row represents an employee for a given pay period. That said, each employee can submit only one timesheet per pay period.

At this high-level view, you will notice the total hours calculated and displayed as a weekly total for each employee’s unique pay period. To review these employee timesheets on a more granular (daily) and detailed view, click the right arrow “>”  icon.



There are three ways to approve or reject time and expense sheets:

METHOD #1. Individually in the Details: If you want to see more details of the employee’s timesheet before approving/rejecting it, click on the “>” icon and a slide-out will display with the details of that timecard. Once you review, simply click the “APPROVE” or “REJECT” button, as shown below.



METHOD #2. Individually in the Table: you can also approve/reject timesheets individually from the the table by hovering over and clicking either the green check mark (approve) or the red “x” mark (reject), as shown below.



METHOD #3. In Bulk: to approve/reject timesheets in groups, you can either click on the universal checkbox as shown below in the header or individual checkboxes in the table. When ready, proceed by clicking the “APPROVE” or “REJECT” button that appear once a checkbox is clicked.



Time/Expense Sheet Rejection

To reject a time or expense sheet, follow the same process as above. Whenever you reject a time/expense sheet, whether individually or collectively, you will be asked to provide a reason for each instance, as shown below. This will be shown to the employee via email and give them a chance to edit and resubmit it.



Receipts

To view the attached receipts, click on the paper icon under the RECEIPT column.
